Q. What is the Caseload Profile? [Top]

A. The Caseload Profile provides data on your Clients. To access more info, you can click on each box. Additionally, you will be able to export data into a .csv format. The following is what each box represents:

Health - The Health meter represents the overall health of clients. The formula is based on the O-A-I. The ideal ratio of job cards would be 1.0:0.50:0.10. So, based on a 160 cards, a healthy ratio would be 100 job cards in the Opportunity Column, 50 job cards in the Applied Column and 10 job cards in the Interview column. If it falls below this ratio the thermometer will turn yellow and if it is severly below it will turn red. Maintaining an heatlhy ratio is critical to ensuring that the job seeker is heading it the right direction.

Clients -The total number of clients linked to your agency. This includes Clients linked to a coach and those who are not.

O-A-I - The S represents the total number of job cards on the Pad, the A represents the number of

Last Login - Last login of each client.

Job Leads -Total number of job leads (job cards) generated by all clients.

Applications - Total number of applications generated by all clients.

Interviews - Total number of interviews attended by all clients.

Job Offers - Total number of job offers recieved by all clients.

Job Accepted - Total number of jobs accepted by all clients.

Time to between stages - Average time it takes all clients to move a job card from one column to the next.

Job Function - The breakdown of job function across all clients.

Education - The breakdown of education across all clients.

Industry - The breakdown of the industries that all clients are interested in working in.

Position Level - The breakdown of position level all clients are looking for.

Job Type - The breakdown of job type across all clients.


Q. Why should my clients stop applying for jobs?  [Top]

A. Two reasons; 1) increases their odds of getting an interview, and 2) keep them motivated. SnagPad is all about helping your clients conduct a strategic job search. By completing strategies for each job opportunity they identify it increases the odds of them getting an interview. Let’s face it, the job search sucks! SnagPad has been designed to issue them small challenges on a weekly basis so they do the little things that can lead them to a job without even knowing they're doing it. Ultimately, SnagPad keeps them motivated.


Q. How do I Create a new account for a client?  [Top]

A. From the dashboard click on the Add Client tab. Type in the clients name and email address, then click submit. An email will be sent to the client with their username and password.


Q. Can I view a clients Pad?  [Top]

A. Yes. From the dashboard click on a clients name and it will bring you directly to their Pad.


Q. Can I view a clients report?  [Top]

A. Yes. From the dashboard, click on the Report icon found in the action column.


Q. What is a Job Card?  [Top]

A. The job card holds all the information a job seeker needs to make strategic decisions about their job search. Each time they move a job card forward they will be able to strategize to help them get the job.


Q. How do your clients add a job card to their SnagPad?  [Top]

A. On SnagPad, there is a +CREATE JOB CARD tab. When they click it they will be able to enter a job posting manually or create one automatically from our database of jobs.


Q. Can they apply to a job from SnagPad?  [Top]

A. Yes. After they have completed the strategies in the SNAGGED JOBS column and they are ready to apply, simply click the ‘Yes, I am ready to apply for the job’ button and SnagPad will open up a new tab of the job posting. They simply follow the instructions for applying on that site, close the tab and confirm their submission on SnagPad. Their job card will then be automatically moved to the next column.


Q. Why should your client complete the profile?  [Top]

A. The profile wizard in SnagPad is to make sure the system knows what their job search goals are. Additionally, contacts from their network who are connected to the jobs they are applying to and suggested job cards can be identified.


Q. What does O-A-I stand for?  [Top]

A. O-A-I stands for Snagged Jobs, Applied and Interviews. These three numbers correspond to your client's SnagPad activity and help you quickly see how they’re doing in your job search. The Snagged Jobs are the number of job cards they have identified, the Applied is the number of job cards they actually applied to and the Interviews are the number of interviews they have been on.


Q. Does SnagPad take suggestions on how to improve the site?  [Top]

A. Absolutely! If you have any suggestions to make the SnagPad experience better, we want to hear from you. Just send us an email to [email protected]


Q. What is the SnagPad plugin - SnagIt and how do I use it?  [Top]

A. SnagIt can be used by your clients with a FireFox browser (additional browsers coming shortly) that allows them to turn job postings into job cards. Simply go to any website, type in the company name and job title and a copy of the posting will be added to their SnagPad in the form of a job card.


Q. I am no longer working with a client, how do I remove them from my dashboard?  [Top]

A. There are two options; 1) you can delete the client by putting a check in the box beside their name and clicking delete, or 2) click on the release button in the Action column of the dashboard. By releasing the client they do not lose their account but are no longer connected to your account.


Q. How do I change my password?  [Top]

A. To change your password, hover over you name in the top right hand corner. From the menu, select settings and enter your info in the Update Credentials tab.


Q. How do I find out what my password is?  [Top]

A. If you forgotten your password, go to the SnagPad homepage and click on the Sign In link on the top right hand corner and click on Forgot Password link. Enter your email address, type of user and then click submit. You will recieve an email with your information.


Q. What do all the columns on the Coaches Dashboard represent?  [Top]

  1. Refresh Dashboard Button: Click this button to refresh your dashboard. As clients enter information into the system, you will be able to update your screen by clicking on this button. Additionally, each time you go to your dashboard it will be automatically updated.

  2. Filter Clients for: Check the box and then select the color you want to view. A list of clients will appear based on the color you chose to view. Red = no job card movement in 5 days, Yellow = no job card movement in 3 days, and Green = active job card movement.

  3. Select All: When checking this box, all clients’ checkboxes will be selected. You can then delete a client buy selecting the delete button at the end of the list.

  4. Client: By clicking on the clients name you will be able to view their Pad. This will allow you to see what is happening with their job search.

  5. Job A: Represents all the jobs the client has identified as a Job A. This job represents their ideal job.

  6. Job B: Represents all the other jobs the client has identified as a Job B. Ideally, the client should have twice as many Job B’s as they have Job A’s.

  7. O-A-SI-I-V-J: This provides you with a click glance at the number of job cards in each column of the client’s Pad. The bolded O-A-I represent the number of ‘snagged jobs’, ‘applieds’ and ‘interviews’.

  8. # of weeks: The column represents the number of weeks the client has been in the system (from the time the account was created to the present day).

  9. Notes: These are private notes that you can keep on the client’s activity. They are not viewable by the client.

  10. Action: By hovering over each icon you will be able to see the name of each of them. The first icon enables you to send a message to your client, the second icon, allows you to release your client, which doesn’t delete their account, simply removes them from your caseload, the third icon allows you to view any resumes or cover letters the client has uploaded and the last icon displays a client’s report.

  11. Search Clients: Click on this tab to view a list of your clients.


Q. What are some SnagPad Best Practices?  [Top]

  • Routinely use the terminology in team and individual coach meetings.
  • Routinely use each coach’s dashboard in one-on-one coach meetings and updates.
  • Establish coach/client goals and metrics around the terminology.
  • Make it fun!  Establish contests around key SnagPad performance indicators (i.e. most active clients, most touch points using SnagPad, most client interviews, first to “hired”, etc.).
  • When interacting with clients in person or on the phone, have the SnagPad dashboard up and refer to it while discussing job search status.

Q. What should happen in the first 10 weeks of using SnagPad?  [Top]

SAMPLE 10 WEEK PLAN FOR CLIENTS

Preparation:

  • Week 1: Set up an account for clients from the coach’s account.

  • Week 1: When accessing SnagPad for the first time, clients will be required to 1) identify their job A and indicate the required skills and abilities, and 2) identify the criteria for why they would take a job other than their Job A (Job B) - they should list as many criteria as possible.  To prepare the client, discuss this with them prior to accessing the system if possible.

  • Week 1: Clients will be required to fill out their SnagPad profile.

  • Week 1: Get client to upload a Job A resume and a Job B resume.

  • Week 1: Get client to complete the online learning modules.

  • Week 1: Have clients complete the challenge survey and start the challenges.

Active Job Search

  • Week 1: Have clients add 10 - 20 job cards to the 'opportunity' column for both Job A and Job B. Instruct them NOT TO APPLY. They should follow the strategies found in each job card first. Use the SnagPad message system to inform your clients.

  • Week 2: Have clients apply to the job opportunities for their Job A and get them to review their Job B’s to ensure they match the criteria before applying. Get them to identify 10 new Job A and Job B opportunities.

  • Week 3 through 6: Ensure that clients are maintaining a SAI ratio of 2 (Snagged Jobs): 1 (Applieds). Don't worry about interviews for now.

  • Week 8: The client should have moved a least one Job B card the 'Set Interview' column. For those that have, contact to create their interview agenda, for those that haven't review their SAI and the type of opportunities they have been adding to their job search board (ie. # of Job As, # of Job Bs). Ensure that they are maintaining their SAI ratio during this time. Note: This can also be a Job A opportunity but most likely that will take longer.

  • Week 9: The client should be conducted at least one Job B interview and is awaiting a verbal job offer. Review how the client is going to react should an offer be made. Continue monitoring SAI ratios and ensure that the client is preparing for upcoming interviews. Note: This can also be a Job A opportunity but most likely that will take longer.

Job Maintenance

  • Week 10: The client should have accepted a Job B offer and has a start date. A follow up email will go out to the client at the 3, 6, 9 and 12 month point to determine if the client is still employed.
